Purpose
Use Job Openings to create, manage, track, approve, publish, and close recruitment requests throughout their lifecycle.
This module serves as the central hub of the recruitment process, connecting candidates, opportunities, referrals, interviews, hiring managers, recruiters, and reporting activities.
Job Openings move through different statuses as they progress from creation to closure, providing visibility into recruitment demand and hiring progress.
Before You Start
- You must have permission to access Job Openings.
- Visibility of job openings depends on your access profile and assigned teams.
- Some actions may require approval from Team Leaders or designated approvers.
- Confidential job openings may not be visible to all users.
- Job openings can exist in multiple lifecycle stages.
Understanding Job Opening Statuses
Active
Job openings currently being worked on by recruiters and hiring teams.
These openings are actively receiving candidates and progressing through recruitment activities.
Published
Job openings that have been published and are available for sourcing and candidate attraction activities.
Published openings are generally visible to a broader audience depending on organizational settings.
Closed
Job openings that have been completed and are no longer accepting candidates.
Closed openings remain available for historical reporting and auditing purposes.
Pending Tech
Job openings awaiting technical approval.
Users with appropriate permissions can review and either:
- Approve the request
- Reject the request
Pending TA
Job openings awaiting Talent Acquisition approval.
Users with approval permissions can:
- Approve the request
- Reject the request
On Hold
Job openings temporarily paused.
Recruitment activities should not continue until the opening is reactivated.
Common reasons include:
- Budget changes
- Hiring freezes
- Client delays
- Internal restructuring
Rejected
Job openings that were not approved.
These openings remain available for review but cannot progress until recreated or reapproved.
All
Displays job openings from every status in a single view.
Useful for reporting, auditing, and broad searches.
Steps
View Job Openings
- Navigate to Job Openings Management > Job Openings.
- Select the desired status tab:
- Active
- Published
- Closed
- Pending Tech
- Pending TA
- On Hold
- Rejected
- All
- Review the available openings.
Search for a Job Opening
- Open the Job Openings page.
- Use the Search field.
- Enter keywords related to:
- Job title
- Client
- Hiring request
- Review the filtered results.
Filter Job Openings
Use available filters to narrow your search:
- Period
- Client
- Practice
- Service Type
- Job Title
- Team
- Region
- Opportunity Owner
- Confidential Job Openings
After selecting criteria:
- Click Save Filter to store the configuration.
- Click Clear Filters to remove all filters.
Create a New Job Opening
- Open Job Openings.
- Click Create New Job Opening.
- Complete all required information.
- Submit the request.
- The opening will enter the appropriate workflow based on company approval rules.
Approve a Job Opening
Available only for authorized users.
- Open either:
- Pending TA
- Pending Tech
- Select the desired job opening.
- Click Approve.
- Confirm the action.
The opening will move to the next stage of the recruitment process.
Reject a Job Opening
Available only for authorized users.
- Open either:
- Pending TA
- Pending Tech
- Select the desired job opening.
- Click Reject.
- Provide the required justification if requested.
The opening will move to the Rejected status.
Export Job Openings
- Open the desired tab.
- Apply filters if necessary.
- Click Export CSV.
- Download the generated file.
Exports only include records visible to your access profile.
View Confidential Job Openings
- Enable Display Confidential Job Openings.
- Review the available openings.
Only users with appropriate permissions can view confidential records.
Common Issues
Issue: Job Opening does not appear in the list
Likely cause: Filters are excluding the opening or it belongs to a different status tab.
How to solve: Click Clear Filters and verify all status tabs.
Issue: Unable to create a Job Opening
Likely cause: Required fields are missing or your profile lacks permission.
How to solve: Complete all mandatory information and verify your access level.
Issue: Approve and Reject buttons are not visible
Likely cause: Your profile does not have approval permissions.
How to solve: Contact your Team Leader or Administrator to confirm your access rights.
Issue: Job Opening is not visible to other users
Likely cause: The opening may be marked as confidential or restricted by permissions.
How to solve: Verify confidentiality settings and user visibility rules.
Issue: Job Opening remains in Pending Tech
Likely cause: Technical approval has not yet been completed.
How to solve: Contact the assigned approver and verify the approval workflow.
Issue: Job Opening remains in Pending TA
Likely cause: Talent Acquisition approval is still pending.
How to solve: Contact the responsible approver and confirm approval status.
Issue: Unable to edit a Closed Job Opening
Likely cause: Closed openings are considered finalized records.
How to solve: Create a new Job Opening if additional recruitment activity is required.
Issue: Export CSV returns fewer records than expected
Likely cause: Filters or permission restrictions are limiting the export.
How to solve: Remove filters and verify your visibility permissions.
Issue: Confidential Job Openings are not displayed
Likely cause: The confidentiality toggle is disabled or your profile lacks permission.
How to solve: Enable Display Confidential Job Openings and confirm access rights with your administrator.
