Candidate Profile Guide

Purpose
Use the Candidate Profile to view, update, and manage all information related to a candidate throughout the recruitment process. This page centralizes personal information, interviews, job applications, scorecards, communications, tasks, and hiring history.
Before You Start
- You must have access to the candidate record.
- Some actions may be restricted depending on your access profile.
- Certain sections become available only after the candidate progresses through the hiring process.
- The Summary tab is only populated after the candidate reaches the Approved status.
Steps
View Candidate Information
- Go to Candidates > All Candidates or My Candidates.
- Open the desired candidate.
- Review the information available in the Profiletab:
- Contact information
- Location
- Resume
- Professional profile links
- Source information
- Salary expectations
- Visa information
- Skills
- Work experience
- Certifications
- Education
- Languages
Update Candidate Details
- Open the candidate profile.
- Navigate to the appropriate section.
- Click the + button or available action.
- Add or update the information.
- Save the changes.
Available sections include:
- Desired Salary
- Visa Information
- Skills
- Work Experience
- Certifications
- Education
- Languages
Manage Candidate Activities
Use the Quick Actions menu to perform common recruitment activities:
- Schedule Interview
- Create Scorecard
- Send Email
- Associate to Job Opening
- Create Task
- Add to a Candidate Group
- Start a Background Check
Review Candidate Progress
Use the tabs at the top of the profile to track candidate activity:

Associate a Candidate to a Job Opening
- Open the candidate profile.
- Click Quick Actions.
- Select Associate to Job Opening.
- Choose the desired job opening.
- Confirm the association.
The candidate will become available in the selected hiring pipeline.
Schedule an Interview
- Open the candidate profile.
- Click Quick Actions.
- Select Schedule Interview.
- Complete the interview details.
- Save the interview.
The interview will be available in the Interviews tab.
Create a Scorecard
- Open the candidate profile.
- Click Quick Actions.
- Select Create Scorecard.
- Complete the evaluation form.
- Save the scorecard.
Scorecards are stored in the Score Cards tab.
Important Rules
- Candidate records are shared across the recruitment process.
- A candidate can be associated with multiple job openings.
- Profile updates are immediately reflected throughout the system.
- The Summary tab remains empty until the candidate reaches the Approved stage.
- Candidate history is automatically tracked and cannot be manually edited.
- Some Quick Actions may not be available depending on permissions and candidate status.
Common Issues
Issue: Candidate information cannot be edited
Likely cause: Your access profile does not have permission to modify candidate data.
How to solve: Contact your administrator or Team Leader to verify your access permissions.
Issue: Summary tab is empty
Likely cause: The candidate has not yet reached the Approved stage.
How to solve: Continue the recruitment process. The Summary section is automatically populated after approval.
Issue: Unable to associate candidate to a job opening
Likely cause: No available job opening matches your permissions or assignment.
How to solve: Verify access to the job opening or contact the Hiring Manager responsible for the position.
Issue: Quick Actions menu does not display all options
Likely cause: Certain actions are restricted by profile permissions or candidate status.
How to solve: Verify your access level and confirm that the candidate is in a valid stage for the requested action.
Issue: Resume is missing from the profile
Likely cause: No resume was uploaded during candidate creation.
How to solve: Open the Profile tab and upload the candidate's resume using the available file upload option.
