Talent Pool Guide

Purpose

Use Talent Pool to identify candidates that match specific job requirements using AI-powered search and advanced filtering.

This feature helps recruiters quickly find qualified candidates by comparing candidate profiles against job descriptions, skills, experience, location, language requirements, and other recruitment criteria.

Unlike the Candidates module, Talent Pool only includes candidates who have already been approved during the recruitment process, making it a curated talent database that can be reused for future opportunities.


Before You Start

  • You must have access to Talent Pool.
  • Candidate visibility depends on your access profile and organizational permissions.
  • Only candidates with an Approved status are available in Talent Pool.
  • AI search results are based on the information available in candidate profiles and resumes.
  • More detailed search criteria generally produce more accurate results.
  • Search results can be refined using a combination of AI matching and traditional filters.

Understanding How Talent Pool Works

Talent Pool combines two different search mechanisms:

AI Search (Deterministic Matching)

The AI Search field analyzes the requirements you provide and compares them against candidate information such as:

  • Resume content
  • Skills
  • Professional experience
  • Technologies
  • Languages
  • Seniority
  • Other profile information

The AI generates a match score based on how closely each candidate aligns with the provided requirements.

This search is considered deterministic, meaning candidates do not need to contain exact keywords to be considered relevant. The system interprets the overall context and meaning of the requirements to identify the best matches.

For example:

A search for:

Senior Java Developer with AWS experience and strong communication skills

may return candidates whose resumes mention:

  • Java Engineer
  • Cloud Architecture
  • Amazon Web Services
  • Technical Leadership

even if the wording is not identical.


Filters (Restrictive Filtering)

The filters work differently from AI Search.

Filters are restrictive, meaning they remove candidates that do not meet the selected criteria.

For example:

If you select:

  • Country = Canada
  • Language = English
  • Seniority = Senior

Only candidates matching all selected criteria will remain in the results.

Filters do not generate matches or recommendations. They simply narrow down the available candidate pool.


Steps

Search Candidates Using AI

  1. Go to Candidate Management > Talent Pool.
  2. In the AI Searchfield, enter:
    • A job description
    • Position requirements
    • Skills and technologies
    • Experience requirements
    • Language requirements
    • Any relevant hiring criteria
  3. Adjust the Minimum Score Match (%) slider.
  4. Review the matching candidates returned by the system.
  5. Open candidate profiles for detailed review.

Adjust Match Threshold

  1. Locate the Min. Score Match (%) slider.
  2. Move the slider to define the minimum acceptable match score.
  3. Higher percentages return fewer but more closely matched candidates.
  4. Lower percentages return a broader candidate pool.

Example:

  • 80–100% → Highly targeted results
  • 60–79% → Balanced results
  • Below 60% → Broader talent search

Refine Search Results

Use available filters to narrow candidate results:

  • Last Validation Date
  • Role
  • Seniority Level
  • Language
  • Language Proficiency
  • Skills
  • Team
  • Sourcer
  • Recruiter
  • Region
  • Country
  • State
  • City
  • Work Model

Apply one or multiple filters to focus the results on specific candidate groups.


Review Candidate Matches

After running a search, review:

  • Match Score
  • Candidate Name
  • Salary
  • Role
  • Country
  • Sourcer
  • Recruiter
  • Approved Date
  • Technology Stack

Candidates with higher match scores generally have stronger alignment with the provided requirements.


Clear Search Criteria

  1. Click Clear Filters.
  2. All applied filters will be removed.
  3. Enter new requirements and perform another search.

Important Rules

  • Talent Pool only contains candidates who have already been approved.
  • Candidates currently in recruitment pipelines are not available in this module.
  • Rejected candidates are not included in Talent Pool.
  • Draft or incomplete candidate records are not indexed.
  • AI matching depends on the quality and completeness of candidate data.
  • Match percentages are recommendations and should not replace candidate review.
  • Filters are restrictive and remove candidates that do not meet the selected criteria.
  • Search results are limited by your access permissions and visibility rules.
  • Candidate availability should always be confirmed before initiating contact.
  • AI recommendations are intended to support recruiter decisions, not replace them.

Common Issues

Issue: Candidate does not appear in Talent Pool

Likely cause: The candidate has not yet reached the Approved status.

How to solve: Verify the candidate's current recruitment status. Only approved candidates are indexed in Talent Pool.


Issue: Candidate appears in Candidates but not in Talent Pool

Likely cause: The Candidates module contains all candidates, while Talent Pool only contains approved candidates.

How to solve: Confirm that the candidate has completed the approval process.


Issue: No candidates are returned

Likely cause: The search criteria are too restrictive, the match threshold is too high, or the selected filters exclude all available candidates.

How to solve: Lower the match score percentage, remove some filters, and perform the search again.


Issue: Search results are too broad

Likely cause: The AI search description is too generic or the match threshold is too low.

How to solve: Add more detailed requirements and increase the minimum score percentage.


Issue: Expected candidate is missing after applying filters

Likely cause: One or more filters exclude the candidate from the results.

How to solve: Remove filters one at a time and rerun the search to identify which criterion is excluding the candidate.


Issue: Candidate match scores seem lower than expected

Likely cause: Candidate profiles may contain incomplete information or outdated resumes.

How to solve: Review candidate profiles and ensure resumes, skills, and experience information are up to date.


Issue: AI search returns unexpected candidates

Likely cause: The AI evaluates overall context and transferable experience rather than relying only on exact keywords.

How to solve: Make the search criteria more specific by including technologies, seniority requirements, language expectations, certifications, or domain expertise.


Issue: Unable to view candidate details

Likely cause: Your access profile does not grant visibility to the candidate record.

How to solve: Contact your Team Leader or Administrator to verify your permissions.
