Job Opening Creation Guide

Purpose

Create a new Job Opening to manage recruitment activities for a specific client demand. A Job Opening defines the position requirements, hiring team, candidate pipeline, and all information required to start sourcing and interviewing candidates.


Before You Start

Before creating a Job Opening, make sure:

  • An Opportunity has already been created and approved.
  • You have all hiring requirements from the client.
  • The hiring manager or requester has provided the job description.
  • Required fields marked with * are available.
  • You have permission to create Job Openings.

Steps

  1. Go to Job Openings > Active.
  2. Click Create New Job Opening.
  3. Complete the Job Opening Detailssection:
    • Opportunity
    • Company
    • Job Title
    • Role
    • Requester
    • Practice
    • Job Seniority
    • Request Type
    • Service Type
    • Billing Type
    • Number of Openings
    • Regional Business Unit
    • Main Region of Hiring
    • Currency
    • Hiring-related fields required by your organization
  4. Complete the Job Opening Profilesection:
    • Job Description
    • Must Have Skills
    • Nice to Have Skills
    • Languages
    • Additional Comments
    • Supporting Documents (optional)
  5. Assign the Hiring Team:
    • Sourcer
    • Recruiter
  6. If the position should be publicly advertised:
    • Enable Publish Job Opening
    • Complete:
      • Public Role
      • Role Name on Website
      • Job Post Location
      • Opportunity Description
      • Responsibilities
      • Additional public-facing information
  7. Review all information carefully.
  8. Click Submit.

Important Rules

  • Fields marked with * are mandatory.
  • The Job Description should contain enough information for recruiters and candidates to understand the position.
  • Must Have Skills are used throughout the recruitment process and should reflect the essential requirements.
  • The assigned Recruiter and Sourcer become responsible for managing the hiring process.
  • Confidential Job Openings are only visible to selected users.
  • Publishing a Job Opening makes it available through configured external recruiting channels.
  • Changes to certain fields may require additional approvals depending on company configuration.

Common Issues

Issue: Submit button is disabled

Likely cause: One or more required fields have not been completed.

How to solve: Review all fields marked with * and complete any missing information.


Issue: Opportunity does not appear in the Opportunity list

Likely cause: The Opportunity may not exist, may not be approved, or may not be available based on your permissions.

How to solve: Verify the Opportunity status and contact your manager if access is required.


Issue: Recruiter or Sourcer cannot access the Job Opening

Likely cause: The user was not assigned in the Hiring Team section or does not have sufficient permissions.

How to solve: Update the Hiring Team assignments or contact an administrator.


Issue: Published Job Opening is not visible externally

Likely cause: The Publish Job Opening option was not enabled or required public information is missing.

How to solve: Open the Job Opening, verify the External Information section, and confirm publishing settings are completed.


Issue: Confidential Job Opening is not visible to another user

Likely cause: The Job Opening was created as confidential and the user was not included in the visibility list.

How to solve: Update the list of authorized users or remove the confidential restriction if appropriate.


Issue: Candidates are not being matched correctly to the Job Opening

Likely cause: Required skills, languages, seniority, or job details were entered incorrectly or incompletely.

How to solve: Review the Job Description, Must Have Skills, Languages, and Seniority fields to ensure they accurately reflect the position requirements.
