User/Access Management Guide

Purpose

Use Access Management to control user access to the Expand platform. Administrators can create users, assign access profiles, and manage permissions according to each user's role.


Before You Start

  • Only users with administrative permissions can manage users and access profiles.
  • Each user must have at least one access profile assigned.
  • Access permissions are determined by the selected profile(s).

Access Profiles

The platform includes the following access profiles:

ProfilePurpose
AdminFull system access, configuration, user management, and reports.
Team LeaderTeam management, candidate oversight, and recruitment operations.
Recruiter / SourcerCandidate sourcing, recruitment activities, and job opening management.
Hiring ManagerReview candidates and participate in hiring decisions.
InterviewerAccess interview activities and submit evaluations.
Regular UserSubmit candidate referrals.

Users may have multiple profiles assigned when required.


Steps

Create a New User

  1. Go to User Management > Access Management.
  2. Click New User.
  3. Complete the required information:
    • Name
    • Email
    • Access Profile
    • System Start Date
    • Company
  4. Click Save.

The user will be created and receive access according to the assigned profile.


Search for Users

  1. Open Access Management.
  2. Use the available filters:
    • Search
    • Name
    • Access Profile
  3. Click Save Filter if you want to reuse the search later.

Update User Access

  1. Locate the user in the list.
  2. Open the available actions.
  3. Edit the assigned access profiles.
  4. Save the changes.

Permissions are updated immediately after saving.


Bulk Update Access Profiles

  1. Select one or more users.
  2. Click Bulk Edit Access Profile.
  3. Choose the new profile(s).
  4. Confirm the update.

This allows administrators to update multiple users simultaneously.


Important Rules

  • Access permissions are controlled by the assigned profile(s).
  • Users may have more than one access profile.
  • Only administrators can create users and manage permissions.
  • Changes to access profiles take effect immediately after saving.
  • Removing a profile may remove access to specific system features.

Common Issues

Issue: User cannot access a feature

Likely cause: The required access profile is not assigned.

How to solve: Review the user's assigned profiles and update permissions if necessary.


Issue: User does not appear in the list

Likely cause: Filters are restricting the results.

How to solve: Clear filters and search again.


Issue: Unable to create a new user

Likely cause: One or more required fields are missing.

How to solve: Complete all mandatory fields and save again.


Issue: User has access to the wrong features

Likely cause: An incorrect access profile was assigned.

How to solve: Review the assigned profiles and update them as needed.
